Users Management

Learn how to manage user accounts and permissions in Vintaflow.

Viewing Users

  1. Navigate to Users from the sidebar or an account's sub-section
  2. Browse the user list

User Information

The user list displays:

  • ID - User identifier
  • Name - Full name
  • Email - Login email address
  • Roles - Assigned roles
  • Phone - Contact number
  • Status - Current account state
  • Last Login - Most recent sign-in

User Types

Type

Who They Are

Internal

Vintaflow staff, who see the admin surface

External

Customers and partners, who see their own account or the partner portal

A user's type determines which navigation and screens they get. See External Partner Portal.

User Statuses

Status

Meaning

Active

Can log in and use the system

Inactive

Account disabled

Suspended

Access withdrawn, usually temporarily

Locked

Locked out, typically after repeated failed sign-in attempts

A Locked user does not need a new account - they need to be unlocked or to reset their password. See Login and Authentication.

Creating a New User

  1. Click Create User
  2. Fill in the details:
    • Name (required)
    • Email (required)
    • Phone
    • Password (required for new users)
    • Roles (required)
  3. Click Create

The user receives a welcome email with sign-in instructions.

Editing a User

  1. Click a user row, or the edit icon
  2. Modify the details
  3. Click Save

Roles

Roles bundle permissions together. Go to Users > Roles to manage them.

Role Type

Visibility

Internal

Only visible and assignable to internal Vintaflow employees

External

Visible and assignable to both internal and external users

Users can hold more than one role, and receive the combined permissions of all of them.

Permissions

Go to Users > Permissions to see the full permission catalog. Permissions are grouped by feature area - accounts, orders, products, inventory, warehouses, users, consolidation groups, custom fields, account types, and more.

Each area typically offers separate Create, Read, Update, and Delete permissions, so you can grant read-only access to one area and full control of another.

Permissions drive the navigation. If a user cannot see a section in the sidebar, they are missing its Read permission - the page is not broken.

Filtering Users

  1. Use Search to find users by name or email
  2. Click Filters for advanced options:
    • Filter by status
    • Filter by roles
    • Filter by date range
    • Filter by last login
