Custom Fields

Add your own fields to products, inventory records, and orders so Vintaflow can capture data specific to your business.

Where to Find It

Navigate to Settings > Data Attributes.

What You Can Extend

Custom fields can be attached to three record types:

Entity Type

Where the Field Appears

Account Product

On products in your catalog

Product Inventory

On inventory records in a warehouse

Order

On orders

Date

Boolean

A true/false toggle

Creating a Custom Field

  1. Go to Settings > Data Attributes
  2. Click Create Custom Field
  3. Enter the Field Name
  4. Choose the Entity Type - Account Product, Product Inventory, or Order
  5. Choose the Data Type - Text, Number, Date, or Boolean
  6. Set whether the field is Required
  7. Set whether the field is Enabled
  8. Click Create

A field marked Required must be filled in before the record it belongs to can be saved. Add required fields with care if you already have records in the system.

Enabling and Disabling

Every custom field has an Enabled switch. Disabling a field hides it from forms without deleting the data already captured, which makes it a safer choice than deletion when you are retiring a field.

Editing a Custom Field

  1. Click the field in the list
  2. Update the name, requirement, or enabled state
  3. Click Save

Changing a field's data type on a field that already holds data can make existing values unreadable. Create a new field instead where possible.

Custom Fields in Imports and Exports

Once a custom field is enabled it becomes available to the import and export tools for that entity type. Map your spreadsheet column to the custom field in your data mapping template - see Import Data.

Tips

  • Name fields for what they hold, not for who asked for them
  • Prefer Number over Text for anything you will want to sort or total later
  • Disable rather than delete when a field falls out of use
