Account Settings

Every account carries settings that control how orders are approved, how inventory is calculated, and which units are displayed. This article covers the sections of the account edit form beyond basic contact details.

Opening Account Settings

  1. Navigate to Accounts from the sidebar
  2. Find the account and click Edit
  3. Scroll to the section you want to change
  4. Click Save

Declaration

Authorization determines how the account is managed:

Option

Meaning

Self Managed Account

The account has its own login and goes through the usual authorization flow

Normal Account

Creates a ghost account that your account manages on its behalf

You also set the account Type here - see Account Types - along with its Name and Manager.

Details

Standard business information: address, postal code, country, state, city, single point of contact, website, phone, and fax.

Trade-specific fields also live here:

  • GLN (EAN-13) - Global Location Number
  • First Date Valid Supplier GLN
  • Excise License Number
  • INCO Terms

Unit Preferences

Choose the units this account's data is displayed in:

  • Size Unit - millimeter, centimeter, meter, inch, or foot
  • Weight Unit - gram, kilogram, metric ton, ounce, pound, short ton, or long ton
  • Volume Unit - milliliter, liter, cubic centimeter, cubic meter, cubic inch, cubic foot, cubic yard, US gallon, imperial gallon, or barrel

Unit preferences change how values are presented, per account. Partners on the other side of a trade can view the same shipment in their own units.

Inventory Control

Hotpoint Lock

A hotpoint locks an account's inventory data for a set period so it cannot be manipulated by hand.

Setting

Behaviour

Enabled

Inventory is locked for the specified duration. Calculations during the period run in real time from live order flow

Disabled

Calculations rely on historical data from inventory history rather than real-time order processing

When enabled, set the Duration and the Start Date.

Turn on a hotpoint during a physical stock count or a month-end close, when you need the numbers to stop moving underneath you.

Orders Control

Authorization / Approval

Option

Behaviour

Auto-Approved

Orders and their amendments are approved automatically, with no manual step

Manual Approval

Orders and amendments require review and approval before they are allocated or changed

Sync Type

Option

Behaviour

Automatic Sync

Order statuses and other parameters progress forward automatically as validations pass

Manual Sync

Order progression requires manual intervention

Reconcile Missing Items

Controls what happens during an order import when an existing order line is absent from the file:

Option

Behaviour

Automatic Deletion

Items missing from the import file are removed from the order

Keep Missing Items

Missing items are retained and will not be deleted

Automatic Deletion means a partial import file can silently strip lines off an existing order. Use Keep Missing Items unless your files are always complete.

Auto Map Missing Products

Controls what happens when an imported order references a product that is not yet mapped:

Option

Behaviour

Automatically Map Products & Inventories

Unassigned products are mapped to the ghost or logged-in account, and inventory is initialised in the relevant warehouses during import

Skip Unmapped Products & Inventories

Products and inventories not yet mapped are ignored
