# Inventory Management

Learn how to manage, forecast, and reconcile inventory in Vintaflow.

## Accessing Inventory

1. Navigate to **Inventory** from the sidebar, or from an account's sub-section
2. Select a **Warehouse** from the dropdown

## Inventory List View

The inventory table shows, for each product:

| Column | Meaning |
|--------|---------|
| **ID** | Inventory record identifier |
| **SKU** | Stock keeping unit |
| **Product** | Description |
| **Owner** | Which account owns the stock (shown when viewing across accounts) |
| **Variants** | Number of variants tracked |
| **On Hand** | Current physical quantity |
| **Available** | On hand, less anything already committed |
| **Pending Outbound** | Reserved for outgoing orders |
| **Pending Inbound** | Expected from incoming orders |
| **Weeks on Hand** | How long current stock will last at forecast demand |
| **Next Out of Stock** | Projected stockout date |
| **Last Inbound** / **Next Inbound** | Most recent and next expected delivery |
| **Next Order** | Recommended reorder date |
| **MOQ** | Minimum Order Quantity |
| **TCP** | Target Coverage Period, also called the review period |
| **MCP** | Maximum Coverage Period |
| **SSM** | Safety Stock Multiplier |

Any [custom fields](https://help.vintaflow.com/en/article/custom-fields-19pvv1/) you have defined for Product Inventory appear as additional columns.

|| **Producers see production wording.** For first-echelon accounts, the inbound columns are labelled **Pending Production**, **Last Production**, and **Next Production**, because stock arrives from the production line rather than from a supplier.

Use **Select Columns** to show or hide columns. Your selection is remembered.

## Inventory Statuses

| Status | Meaning |
|--------|---------|
| **Active** | Being tracked and forecast |
| **Inactive** | Not currently tracked |
| **Expired** | Past its validity window |

## Viewing Product Inventory Details

Click a product to open its detailed view.

### Inventory Level Chart

The chart overlays three bar series and three line series. Toggle each on or off:

**Bars**

* **Historical** - what actually happened
* **Reconciled** - hotpoint-adjusted actuals, shown only when a hotpoint is active
* **Forecasted** - the projection ahead

**Lines**

* **Inbound**
* **Outbound**
* **Weeks of Inventory**

### Weekly Inventory Table

Each week is a column, with these rows:

| Row | Meaning |
|-----|---------|
| **On Hand** | Stock at that point |
| **Outbound** | Demand going out |
| **Inbound** | Supply coming in |
| **Forecast Override** | A manual value replacing the model's forecast |
| **Order Quantity** | Recommended or planned order size |
| **In Transit** | Already shipped, not yet received |
| **Weeks on Hand** | Coverage at that week |

For producers, **Inbound** becomes **Production**, **Order Quantity** becomes **Production Quantity**, and **In Transit** becomes **In Production**.

## Overriding the Forecast

Use **Forecast Override** to replace the model's number for a given week when you know something the model does not - a promotion, a one-off bulk order, a line shutdown. Open the **Forecast Plan** dialog from the product view to set overrides.

| An override affects only the week you set it on. The model keeps forecasting the surrounding weeks normally.

## Forecast Settings

Each inventory record has its own forecasting model. Click **Forecast Settings** to choose an algorithm, tune hyperparameters, and read the accuracy score. See [Inventory Forecasting](https://help.vintaflow.com/en/article/inventory-forecasting-d9yvhc/) for the full detail.

## Hotpoints

When a hotpoint is active on the account, inventory data is locked for the configured period and calculations run in real time from live order flow instead of from history. Reconciled figures appear on the chart while a hotpoint is in effect. See [Account Settings](https://help.vintaflow.com/en/article/account-settings-11uvgnn/).

## Inventory Alerts

Alerts flag products needing attention:

| Alert | Meaning |
|-------|---------|
| **Critical Level** | Stock is critically low |
| **Low Stock** | Below the safety stock threshold |
| **Overstock** | Above the maximum coverage period |
| **Resolved** | A previous alert that has since cleared |

Use the **All** filter to see every alert regardless of type.

To have alerts emailed out, enable **Alert Inventory Levels** on the account and add recipients - see [Add Email Recipients](https://help.vintaflow.com/en/article/add-email-recipients-to-an-account-rur5xu/).

## Filtering Inventory

1. Use **Search** to find specific products
2. Click **Filters** for advanced options:
   * Filter by status
   * Filter by date range
   * Filter by forecast date range
   * Sort by any column
